eDocs are Here!
Now your Mexico and Caribbean clients will have the option to choose between Apple Vacations’ traditional paper documents and our new electronic documents for new bookings.

To have a reservation processed with eDocs, follow these three simple steps:
Step 1 During the booking process on the Passenger Information screen, enter the email addresses of the passengers who are to receive the eDocs. To view click here.
Step 2 Confirm email addresses. To view click here.
Step 3 If you need to correct any email addresses, click on the Print/Email Confirmation link, re-type the email address and save. To view click here.


How soon after I book will my clients and I receive the eDocs?
An email confirmation will be sent to you and/or your passengers when full payment is received. At 35 days from departure, eDocs will be automatically emailed to you and your passengers if the booking is paid in full.

Apple Vacations’ Fair Trade Contract will display on the screen when eDocs are viewed by your clients. The passenger will be required to click “OK” in order to accept the FTC guidelines and continue viewing their documents. This screen will not be displayed to travel agents.

Will eDocs be available for all of Apple Vacations’ destinations?
eDocs will be available for most new Mexico and Caribbean bookings made on Apple Online, applevacations.com and through our reservations call centers. eDocs are not yet available for Hawaii, Europe, Ski, Groups, Square Deals and select vendors that require hard copy tickets. In these cases, you will not receive an option to choose eDocs during the booking process. In the future, Apple Vacations plans to expand the eDocs option to all of our programs.

Do my clients have an option to choose between paper documents and eDocs?
Yes, you have the option to choose between electronic documents and paper documents at the initial time of booking. You may not select both eDocs and paper documents for a single booking. However, agents may choose eDocs for some bookings and paper documents for others.

What is the process for choosing eDocs?

When eDocs are selected, the system will auto-comment the record with “eDocs requested”. If you do not see that comment, the booking was not eligible for eDocs or you did not request them, and paper documents will be sent.

If you select eDocs initially and then change to a vendor that requires paper tickets, you will automatically receive paper documents. You can send eDocs to multiple email addresses, but to only one email address per person. Additional eDocs can be sent upon request.

What if I make a change to my booking after I have selected or received my eDocs?
When changes are made to an existing reservation after eDocs have been issued, the link provided in the original email will automatically update. A follow-up email will be sent to the client and travel agent advising them of the change by the next business day. If an email address on the booking changes after eDocs have been sent, the travel agent should notify our Reservations Department so that new documents can be emailed.

To whom do I report changes to email addresses after booking is made?
If the travel agent’s email address changes, please fax the change with the booking number(s) on your agency letterhead to our Ecommerce Desk at 610-359-6627. If a client’s email address changes, contact General Reservations and provide the booking number(s).

What if I don’t receive my eDocs within 35 days of departure?

If you and your clients do not receive your eDocs within 35 days of departure and your booking is paid in full, please check your spam filter settings and ask your clients to do the same. If the documents are not found in spam, verify the proper email addresses of your clients and contact Apple Vacations’ Reservations Department for assistance.

How will my clients get their bag tags and ticket stuffers?
Apple Vacations bag tags will be available upon check-in at our charter departure airports. Apple Vacations bag tags are not necessary for clients traveling on scheduled air or land only. General information pieces and ticket stuffers that are normally included with paper documents will be provided in the form of electronic links, so your clients will be able to access all the information they require, as well as special deals on Airport Parking, Park & Stay hotels, etc.
